Our Process for Document Authentication and Legalization

STEP ONE: GETTING STARTED

STEP 1

Getting Started

Getting started is easy – use our contact form or review the fees for our services. After you contact our office, we begin the process by:

  • Identifying what you need, such as types of documents and where they are to be used;
  • Discussing your timelines and when you need the work completed by;
  • Determining your fees based on your requirements.

STEP TWO: SEND YOUR DOCUMENTS

STEP 2

Send documents to Capital Authentication

After our discussion, we will let you know what documents you will need to send to us. Our office will call or send you an email confirming receipt of your documents.

Due to the sensitive nature of your documents, Capital Authentication strongly recommends sending us your documents via a recognized courier that provides you with a tracking number.

STEP THREE: DOCUMENT AUTHENTICATION

STEP 3

We Attend at Global Affairs Canada

Once we’ve received your documents and reviewed them, our office will act as your agent and attend Global Affairs Canada or the Provincial Apostille on your behalf to have your documents apostilled / authenticated.

Depending on the number of documents being apostilled / authenticated, our office may be required to make multiple attendances at Global Affairs Canada. The fees we previously discussed already takes these factors into account and there will no additional charges if multiple visits are required.

Should any problems arise throughout the process, we will contact you and make the necessary attempts to have the situation corrected. We will also notify you via email to confirm once the authentication is complete.

STEP FOUR: DOCUMENT LEGALIZATION

STEP 4

We Attend at Embassy / Consulate in Person

Once your documents are apostilled / authenticated, our office will attend at the necessary Embassy/Consulate, if required, to have your documents legalized.

In most cases, we will be required to re-attend at the Embassy/Consulate to retrieve your documents, as many consulates do not legalize documents on the spot. There are no additional charges if multiple visits are required.

Should any problems arise, we will contact the client and make the necessary attempts to have the situation corrected.

STEP FIVE: RETURN YOUR DOCUMENTS

Return Documents to You

Once legalized, our office will re-attend at the Embassy/Consulate to retrieve your documents. We will confirm with you by either email or by phone that your documents are ready to be returned to you.

If a return courier waybill is provided to us by the client, we will return the documents in that method, along with a copy of the ‘paid’ invoice for your records. If a return courier is not provided to us, we will return your documents to you via a recognized courier company, for an additional cost, and will provide you with the tracking number.

Due to the sensitivity of the documents, at Capital Authentication, we will never under any circumstances return your documents to you via regular lettermail.
